Solids settle to the bottom of the tank and scum floats to the top; only the clear layer in between is supposed to leave the tank and flow to the drainfield. Pump before that solids layer gets close to the outlet, and the tank keeps doing its job. Pump too late, and solids wash into the drainfield, which is the expensive failure — a full tank is a cheap fix, a solids-clogged drainfield often is not.

A larger tank relative to household size buys more time between pumpings; a smaller tank, a full-time garbage disposal, or more people in the house all shorten it. The reliable way to know is to have the tank measured, not guessed: when a pumper opens the lid, they can gauge the scum and sludge layers and tell you how much longer the tank has before those layers reach the outlet baffle. Do that once, note the result, and you have a real basis for your own interval instead of a generic rule.
